Terms of use

Welcome to JoinFlow. JoinFlow is a managed community implementation and hosting service operated by moniq e.U., Austria. By accessing or using our website and services, you agree to these Terms of use.

If you do not agree with any part of these Terms, please discontinue use of JoinFlow.


1. Acceptance of terms

By using JoinFlow, you confirm that:

  • you are at least 18 years old (or have permission from a legal guardian where required)
  • you have read and agree to these Terms of use
  • you agree to be contacted for onboarding, implementation and service-related communication as part of delivery

2. Nature of the service

JoinFlow provides a managed service that includes implementation, configuration and hosting of a community platform for clients. JoinFlow is not a standalone software product and does not provide a self-serve SaaS subscription.

Core community functionality is enabled through third-party software, including WordPress components and plugins such as FluentCommunity.

  • WordPress components and integrations required to operate the platform

moniq e.U. is not the developer or owner of FluentCommunity or WordPress. We provide implementation, configuration, hosting setup and managed service support.

All third-party components remain the intellectual property of their respective owners and are governed by their own terms and policies.


3. Orders, delivery timeline and client responsibilities

To begin an implementation, you submit an order request via our website and provide the required information (for example: community name, branding inputs, domain preferences and contact email).

Work begins once payment is confirmed. Delivery timeline is typically up to 5 working days after payment confirmation, depending on complexity and timely cooperation.

You are responsible for:

  • providing accurate information and required assets (logo, colours, domain details) in a timely manner
  • owning or having rights to use the domain you request (if applicable)
  • making any required DNS changes (we can provide guidance)
  • ensuring your content and community operations comply with applicable laws

Delays caused by missing information, late responses or third-party issues (for example: domain registrar delays, DNS propagation, external outages) may extend the delivery timeline.


4. User accounts and access

Once your platform is delivered, you may receive admin credentials for your community platform.

  • You must protect your login credentials and keep them confidential.
  • You are responsible for all activity under your account.
  • You must notify us promptly of any unauthorized access or security concerns.

We may suspend access where necessary to prevent abuse, protect security or enforce these Terms.


5. Acceptable use

You may not use JoinFlow or any community platform delivered through JoinFlow to:

  • upload illegal, harmful, abusive or infringing content
  • violate intellectual property rights
  • misuse personal data of others
  • attempt unauthorized access to systems or data
  • disrupt platform functionality, distribute malware or engage in hacking
  • engage in fraudulent activity or misrepresentation

We may remove content or suspend services if we reasonably believe there is a violation of these Terms or applicable law.


6. Communications for onboarding and implementation

By submitting an order request or using our services, you agree that we may contact you for:

  • onboarding and project clarification
  • configuration and implementation questions
  • setup support and delivery communication
  • service-related notices (for example: renewal reminders, security notices)

These communications are not marketing emails. Marketing communications, if any, require separate consent.


7. Pricing, payments and invoicing

JoinFlow is billed as an annual service. Unless stated otherwise on the relevant page, the standard price is €999 per year.

Payments are processed via third-party payment providers (for example: Stripe). An invoice may be issued automatically and/or via our accounting processes.

Service delivery begins once payment is confirmed. If payment fails or is reversed, we may pause or terminate the implementation and access.


8. Cancellation and refunds

JoinFlow is a service that includes implementation work, provisioning and ongoing managed hosting and maintenance. Because delivery involves immediate allocation of resources and service work, fees are generally non-refundable, except where mandatory Austrian or EU law requires otherwise.

We may, at our discretion, evaluate partial compensation in cases where a verified technical failure on our side prevents delivery of the agreed service.

No refunds are provided for:

  • unused service periods
  • user error or changes in your business circumstances
  • delays caused by missing client inputs or third-party services
  • partial usage after delivery

9. Intellectual property

JoinFlow branding, website content and any configuration documentation created by moniq e.U. are protected intellectual property.

WordPress, FluentCommunity and other plugins remain the property of their respective creators.

You retain rights to your content and data. You grant us a limited right to process content and data only as needed to deliver and support the service.


10. Third-party services and integrations

JoinFlow may rely on external providers such as:

  • WordPress components and plugins (including FluentCommunity)
  • hosting providers and infrastructure partners
  • payment processors (for example: Stripe)
  • email delivery services
  • analytics tools (if enabled)

We are not responsible for outages, changes or issues caused by third-party services outside our reasonable control.


11. Limitation of liability

To the maximum extent permitted by law, moniq e.U. is not liable for:

  • indirect or consequential damages
  • loss of data, revenue or profits
  • user-generated content and community member behaviour
  • issues caused by third-party software, plugins or providers

JoinFlow is provided on an “as is” and “as available” basis. We do not guarantee uninterrupted uptime, specific performance metrics or compatibility with every external integration.


12. Termination

We may suspend or terminate access if:

  • you violate these Terms
  • unlawful activity occurs
  • required by law or to protect security
  • payment is not completed or is reversed

You may terminate renewal at the end of your annual period. Fees already paid remain non-refundable except where required by mandatory law.


13. Governing law and jurisdiction

These Terms are governed by Austrian law. The competent court is located in Austria, unless mandatory consumer law provides otherwise.


14. Changes to these terms

We may revise these Terms periodically. Updates will be posted on this page with a revised “Last updated” date.
